The Planners Bouquet is a collaborative group of seasoned wedding and event planners, comprising the owners of Chestnut & Vine Wedding Logistics Coordinators, Dogwood Gatherings and Events, Lily Rose Events, and Magnolia Collective. To establish a partnership where the teams that comprise The Planners Bouquet serve as the in-house wedding and event planners for venues in North Carolina. In return, The Planners Bouquet helps manage venue hosting operations through a trained and dedicated team of venue hosts.

The hardest thing about owning a private venue is that it’s like an extension of yourself— that you rent out to people to throw massive parties, even though they will probably break the rules and damage things each weekend.
.
.
Owners often have to remove themselves from the day to day operations, so they don’t get overwhelmed and discouraged by the fact that no guests will ever respect the space like you will.
.
.
That means all the more reason that they should be outsourcing event professionals who will not only take care of the space, but will show it the respect it deserves.
.
.

One of the hardest things about weddings is communicating with clients about the true costs.
.
.
No one benefits from booking a couple in a space they can’t afford, or truly explaining whether there are additional costs associated with booking within tour space that they won’t be able to afford I.e. in house bar, a more expensive catering team, having to bring in all of the rentals, etc.
.
.
Clients trust {the professionals} to educate them because they have never done this before and if we don’t, that’s on us.

Tis the season for venue open houses and while they can be a lot of work, I think it’s also a great opportunity to showcase your favorite vendor partners and stage the space like an actual event to give potential clients the opportunity to see the space in action.

What does the venue include?

This, as a planner, is the first thing I ask couples who are still deciding between venues and determining which is the best value.
.
.
A venue that’s coming in at a lower price point but only includes the space isn’t always an easy sell if the couple gets overwhelmed easily and doesn’t want to navigate booking more vendors.
.
.
An all inclusive venue can sometimes be equally as daunting if they’re stocked by the price in comparison to what an a la carte venue offers.
.
.
There is no right or wrong way to go about it, but it’s imperative that we’re educating couples and not just encouraging them to book a venue that they sometimes can’t afford.
.
.

Venue managers are supposed to facilitate things like replacing toilet paper in the bathrooms, showing the DJ where they can plug in for the ceremony and dimming the lights once the dance floor opens— not set tables, fluff dresses, and move florals from ceremony to reception.

Hopefully if you’ve been in the events industry in the triangle for any stretch of time, you’ve had the opportunity to work with Erin from @chestnutandvineweddings, Addie from @dogwoodgatherings, Becky from @lilyroseevents, and Meagan from @magnolia.collectivellc.

Between the four of us, we have experience in venue management, catering, rentals, florals, bridal wear, business coaching, and of course, planning and design.

After sharing countless stories about owning businesses over the last 13+ years, we decided that we should combine forces and assist our venue friends, both new and established, to streamline their processes and assist with staffing on wedding weekends.

Some venues require a day of coordinator, while most planners offer packages that begin at a ‘wedding management’ level of service.

Most venues have an on site venue coordinator, but they’re not able to assist with day of coordination- unless they do. Clear as mud right?!
.
